In short: we use the details you send us through the contact form to reply to you. Like any website, our host logs basic technical details such as your IP address, and the area map loads images from the OpenStreetMap Foundation. Google Analytics runs only if you accept it, and you can change your mind at any time. We don't sell your information or use it for marketing.

Who we are
This website, chasehouse.uk, is a personal website run by the private individuals who own The Chase House, The Chase, Cornish Hall End, Braintree, Essex CM7 4JL ("we", "us"). It is not operated by, or connected with, any company. We are the controllers responsible for your personal information, and UK data protection law (the UK GDPR and the Data Protection Act 2018) applies to how we handle it.
The house is currently let and we are not looking for new tenants. We keep this website for ourselves and for the future. Because the house is let, please contact us through the contact form rather than by post to the house.

This website is intended for adults. We don't knowingly collect information about children.
What we collect
When you send us a message
If you use the contact form, we receive your name and email address, your message, and your phone number if you choose to give it. Giving us your details is voluntary, but we need at least your name and email address to reply.
If you accept analytics cookies
Google Analytics records how the site is used: for example which pages are viewed and for how long, the type of device and browser, how visitors found the site, and approximate location (town or region). Google receives your IP address to work out that approximate location and says that, for visitors in the UK, it does not store the IP address. We only see summary reports, which don't identify you to us.
Information any website receives
When you visit, your browser sends your IP address and basic technical details (such as browser type, the page requested and the page you came from). Our hosting provider records these in server log files to deliver the site and keep it secure, and its control panel automatically produces basic visitor statistics from those logs (AWStats), such as visitor numbers, pages viewed and the country an IP address is in.
When the area map on the home page comes on or near your screen, including when you scroll past it or follow a link to the contact form below it, your browser downloads map images from the OpenStreetMap Foundation's servers, which receive your IP address and the same kind of technical details.
How we use it, and our lawful basis
- Replying to your message and dealing with anything you ask us about. We rely on our legitimate interest in answering people who contact us (UK GDPR Article 6(1)(f)). If you are our tenant and your message is about your tenancy, we also handle it to carry out our tenancy agreement with you (Article 6(1)(b)).
- Understanding how the website is used so we can improve it, using Google Analytics. We do this only with your consent (Article 6(1)(a)), which you can withdraw at any time.
- Running the website and keeping it secure (server logs, including the basic visitor statistics our host produces from them), and showing the area map. We rely on our legitimate interests in providing a working, secure website with a useful map (Article 6(1)(f)).
- Meeting our legal obligations and protecting our legal position: for example handling your data protection requests and complaints, keeping records the law requires us to keep, sharing information with authorities where the law requires it and, if needed, getting advice from a lawyer or accountant. We rely on legal obligation (Article 6(1)(c)) where the law requires us to act, and otherwise on our legitimate interests in establishing, exercising or defending legal claims and managing our property and our own affairs properly (Article 6(1)(f)).
We don't sell your information, we don't use it for marketing, and we don't make decisions about you by automated means.
Who receives it
- FormSubmit (formsubmit.co), run by Devro LABS, which we understand to be based in Sri Lanka. When you press "Send message", your browser sends the form directly to FormSubmit, which receives what you type together with your IP address and basic browser details, and forwards your message to our email inbox. FormSubmit's website traffic passes through Cloudflare, Inc. (USA), and its emails appear to be sent from servers in Canada. FormSubmit says it keeps form submissions for 30 days.
- Google LLC (USA) provides our email inbox (Gmail), so messages you send us are stored there. If you accept analytics cookies, Google also provides Google Analytics on our behalf; we have turned off Google signals and advertising personalisation. - Namecheap, Inc. (USA) hosts this website and keeps the server log files and statistics described above.
- The OpenStreetMap Foundation, St John's Innovation Centre, Cowley Road, Cambridge CB4 0WS, UK, provides the map images. Your browser connects to its servers in the UK and other countries, including through its content delivery network, Fastly. The OpenStreetMap Foundation decides for itself how it uses this information; see its privacy policy.
We may also share information where the law requires it, or with professional advisers such as a lawyer or accountant if we need their help.
International transfers
Some of the organisations above process your information outside the UK:
- Google LLC is certified under the UK Extension to the EU–US Data Privacy Framework (the "UK–US data bridge"). UK adequacy regulations cover transfers to it.
- Namecheap, Inc. hosts this website on servers in the United States. It is not certified under the UK–US data bridge, so the UK adequacy regulations for the United States do not cover it, and its published data processing terms do not currently include up-to-date UK transfer clauses. We are working to put a valid UK safeguard in place (or move the website to a UK server) and will update this notice when we have.
- FormSubmit is run by Devro LABS, which we understand to be based in Sri Lanka; its traffic also passes through the USA and its emails appear to be sent from Canada. There are no UK adequacy regulations for Sri Lanka and FormSubmit offers no UK transfer safeguards, so your details may be less well protected there. We therefore only send your message through FormSubmit if you explicitly agree, by ticking the box on the form (UK GDPR Article 49(1)(a)). If you don't tick the box, the form won't send your message.
You can ask us for a copy of any transfer safeguard we rely on using the contact form.
How long we keep it
- Messages: deleted within 6 months of our last contact with you. If you are our tenant, messages about your tenancy are kept with the tenancy records for the length of the tenancy and 6 years after it ends (the usual time limit for legal claims), then deleted.
- FormSubmit keeps form submissions for 30 days.
- Google Analytics keeps detailed data for 2 months; after that only summary reports remain.
- Server logs: Namecheap does not publish how long it keeps its live server logs. Copies archived in our hosting account are deleted automatically at the end of each month.
- Your cookie choice is saved in your browser and used for 6 months; after that we delete it and ask again. It also goes if you clear this site's data in your browser.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you (we will carry out a reasonable and proportionate search);
- have information that is wrong or incomplete corrected;
- have your information deleted;
- restrict how we use it;
- object to how we use it (see "Your right to object" below);
- receive information you gave us in a reusable format, where this applies; and
- withdraw your consent to analytics cookies at any time using "Cookie settings" at the bottom of each page. This doesn't affect anything done before you withdrew it.
Your right to object
Where we rely on our legitimate interests (replying to your messages, keeping server logs and statistics, loading the area map, protecting our legal position and managing our property), you can object at any time using the contact form. We will stop unless we have compelling legitimate grounds that override your interests, or we need the information for legal claims.
To use any of these rights, use the contact form. We'll respond within one month. We may extend this by up to two further months for complex or numerous requests, and we may need to confirm your identity first.
Complaints
If you're unhappy with how we've used your personal information, you have the right to complain to us. Use the contact form and start your message with "Data protection complaint". We'll acknowledge your complaint within 30 days and tell you the outcome without undue delay.
You also have the right to complain to the UK regulator, the Information Commissioner's Office (ICO), which becomes the Information Commission on 30 September 2026 and is still known as the ICO: at ico.org.uk/make-a-complaint or on 0303 123 1113. The ICO usually asks people to raise the matter with the organisation first, but you can contact it at any time.
Cookies
Cookies are small files a website stores in your browser. This website sets no cookies unless you accept analytics cookies. The one exception is FormSubmit, which may set two short-lived cookies on its own website (formsubmit.co) when you send the contact form (see the table). On your first visit a notice asks whether you accept or reject analytics cookies. Nothing is sent to Google Analytics unless you choose "Accept".

The fonts and the map software are served from this website, and neither sets cookies. The map images come from the OpenStreetMap Foundation and set no cookies.
You can change your choice at any time. If you withdraw consent, we stop using Google Analytics and delete its cookies from your browser.
You can also block or delete cookies using your browser settings.
Changes to this notice
We'll update this notice if the way we use personal information changes, and we'll ask for your cookie choice again if we change the cookies we use. The date at the top shows when it was last updated.
